We process personal data for one purpose: to file requests with Polish institutions on behalf of the person who granted the power of attorney. This page states who controls that data, what is processed, on what basis, who receives it and for how long it is kept.

What we process, and on what basis

Data of the ancestor named in the matter and of the person granting the power of attorney — names and their spelling variants, dates and places of birth, marriage and death, parentage, and the identification data an institution requires on a request — in the scope needed to file that request and no wider. The legal bases are art. 6(1)(b) GDPR, performance of the engagement; art. 6(1)(c), where a Polish provision requires specific data on a request; and art. 6(1)(f), our legitimate interest in conducting correspondence with the instructing firm.

Recipients

Institutions handling the matter — civil registry offices, state archives and church archives — and processors bound by a written data-processing agreement. Data is not transferred to anyone else, and it is not used for any purpose other than the matter it was collected for.

Retention

For the duration of the matter, and afterwards for the period in which claims connected with it may be raised and in which accounting records must be kept. Earlier deletion on request, where no such obligation stands in the way.

Your rights

Access, rectification, erasure, restriction of processing, portability, and objection where processing rests on legitimate interest. Write to the address above. You may also lodge a complaint with the President of the Personal Data Protection Office (UODO) in Warsaw.
